Accessibility Checklist

Building a new course?

If you are starting your course from scratch, this is a great model to utilize in building your course. 

Research Phase

Do I have the right people on the bus, and in the right seats?

Developing a course takes many groups of people and skill sets. It is highly recommended that you set up a meeting to talk with at least the following people:

  • Office of Disability Services- They can provide you with great insights into how to make items more accessible. However, more importantly, they can help troubleshoot solutions to problems you may encounter with students as they have firsthand experience working with them and their other instructors.
  • IT/LMS management- The folks who manage your LMS know it inside and out, and chances are the problems you encounter may not be unique. Working with them from the get-go will help you better design your course for all students.
  • Libraries- Libraries are essentially warehouses of information, and librarians have spent countless hours sifting through and collecting those pearls of wisdom.
  • Classroom Support- Depending on the structure of your course, if you are a hybrid course, or fully in person, be sure to work with your classroom support team to understand what audio options are available, as well as wifi. Students who use CART may rely on that connection to view the live stream on their laptops or mobile devices.

What are the academic standards of the course?

It’s important that you are determining what the academic standards of the course are. These will be used to determine whether or a not an accommodation is considered as ‘reasonable’. No accommodation should violate the academic standards of the course, and each student, regardless of disability, should be expected to meet those items to successfully pass the course. In many cases, people restrict items out of fear that student may be able to use those items for negative intent, opposed to that their use will jeopardize the standards of the course. For example, the use of a calculator will clearly violate the standards of an Algebra I course where the student is expected to memorize multiplication tables. This may not be true of a Psychology 3 course that requires the student to apply appropriate statistical principles. Here a basic calculator may not violate the essential function of the course. 

Development Phase

Have I put together my required reading lists?

                For students who need their books in alternate format text or students who like to know if they can afford the cost of their books before registering, it’s a good idea to publish your required reading lists as soon as possible. If you are posting things online, try to use accessible versions of text whenever possible. Consult your libraries for help, in some cases, there may be an accessible version of the document you have already in the same database.

Have I included an accessibility statement in my Syllabus?

                Find your disability services office, and be sure that you are including accurate information on where students with disabilities should go if they need assistance. You should also encourage students to speak with you in private about any accessibility challenges they may be facing. Please be cautious not to ask questions about the nature of their disability, and to keep the conversation focused on challenges they may be having accessing information.

Are your course documents accessible?

  • Be sure to use readable fonts like Arial, Verdana and other sans serif fonts. Likewise, try to avoid fancy cursive type fonts that may be difficult for someone with a visual impairment to read.
  • Bigger is better. As we get older we all have trouble reading, please avoid using small font sizes.
  • Stick to Black on White. In many cases, this is the default. Some individuals may have a disability that makes it difficult to see the contrast.   • Avoid using color only to represent meaning, or distinguish between items. This makes things difficult for individuals who are color blind. When at all possible also use shapes, or written content to distinguish between items. For example, a line chart may have two series listed on it, one with round markers along it, and other with diamond markers along it.

Word documents

  • Consult https://accessibility.rutgers.edu/ (Links to an external site.) it provides great resources to help you create accessible to documents.
  • Be sure you are utilizing the style guide to ensure that you are defining your headers
  • Be sure that all the elements in your document have been defined.
  • Don’t forget to provide alt-text to images, and avoid using floating boxes or floating images
  • If you have a chart or graph that not already explained in the body of the text, be sure to provide a description of individuals who may not be able to see that image.
  • If you have links, use links that are meaningful, I.e Visit the Office of Disability Services website, with the ‘office of disability services website’ as the hyperlink, instead of click ‘here’ to visit the ODS site, the here being the link. Screen readers can jump through links similar to jumping through headers or navigation items. The reader will only read the link here out of the link. This doesn’t tell the user much about what that link is for.
  • If you have table be sure you are appropriately defining table headers and avoid using blank cells for formatting.
  • Use the accessibility checker. MS Word for Windows has an accessibility checker built in. It will help identify any issues you may have forgotten.

Adobe Portable Document Format (PDF)

  • If you cannot upload your word file and must upload a PDF, ensure your word file is accessible first and then convert it to a PDF.
  • If you are using a PDF you did not create, you can check if it is accessible by using Adobes read out load feature. Libraries can be a huge help to find those same articles in an accessible format or helping you find resources to run an OCR program on your document.

PowerPoint

  • Use existing templates and stick to the templates.
  • Make sure all images, charts, graphs and everything else in your presentation has an alt text associated with it.
  • Name each slide with a unique name
  • Microsoft Powerpoint also has an accessibility checker built in. Use it.

Design Phase

Is it operable? Can a student with a disability navigate it with the same ease as someone without?

All students should be able to easily navigate through your site. To do this here are some helpful hints:

  • Use consistent navigation on all of your pages.
  • Make navigation items easy to understand
  • Make sure that it can be navigated with a screen reader and with the use of the keyboard or other assistive technology.
  • Avoid iframes. Screenreaders have a difficult time reading this.
  • If you are a developer, use ARIA landmarks to clearly define navigation sections

Questions to ask the host of your LMS

  • Can students access and navigate my site easily with a screen reader? Have you tested it with a screen reader?
  • Can students who need to use CART services, is there a module available to plug in the captions into the course, if not what is needed to make this happen? If a student does need to use CART services often time they will present you with a letter and inform you ahead of time. Please urge them and their CART providers to do a test run before the class starts. This gives your LMS provider time to work out any issues that may arise.

Do you have video?

If you have video, assuming you own the content or have rights to the video, please be sure you taking steps to have the video captioned, or providing a transcription of the video if applicable. We have developed resources for adding captioning to videos using Web ex and Big Blue Button using Kaltura. 

Do you have Audio clips?

Similar to video clips, if you are posting audio then you should also include a transcription file along with it.

Implementation Phase

Day 1

It’s important on day 1 as you go over the syllabus that you are letting students know if they have or believe they have a disability and need assistance they should speak with their disability services office.

Exams

Work with your IT department and LMS management team to ensure that any exam is accessible with a screen reader. If a student presents you with a letter for extended time, you should also work with them to help you determine how to go about making those arrangements online.  Also, we have developed resources for faculty on how to provide extended time for exams within the most commonly used LMS at Rutgers.
